APT Showfreight is appointed as official freight forwarder and on-site handling agents for SEMIEXPO Viet Nam 2026. Exhibitors may use other forwarders for transport to the venue but only appointed official freight handlers are allowed to operate mechanical lifting equipment such as forklifts, pallet trucks and cranes on the show floor.
 

a. DOCUMENT DEADLINES:
Draft commercial invoice/packing list is to be forwarded to us for checking prior to exportation. For machinery and equipment, please indicate serial no., model no., brand name together with copies of catalogues with specifications of machine/equipment.

The following shipping documents are required for cargo clearance upon arrival in Vietnam.

1. Commercial Invoice & Packing List in "ENGLISH" - By Copy
2. Description, specifications, functions of exhibits - Website, pictures
3. B/L or AWB (should surrender/telex release) - Do not issue any HBL or HAWB (to save on the 3rd party charges)
4. Insurance Policy (if insured) - By Copy
5. Other necessary documents (if any) - Dependent on exhibits (but send copies for reference first)

***Pre-alert documents should be sent to APT before departure date at origin side.

All exhibition goods dispatch either by sea freight (Ho Chi Minh Port) or air freight (Ho Chi Minh International Airport), shall be consigned "Freight Prepaid" as follows:

Description of goods to be stated on AWB/ BL: TO BE ADVISED LATER once CCIPL form details are received.

All documents such as the Bill of Lading and Airway Bill must show the consignee as indicated above. Shipment sent under ‘Freight prepaid / Surrendered BL’ term may not proceed until we receive confirmation for the payment.

All consolidated shipments: House Bill of Lading or House Airway Bill is NOT required. A consolidated cargo manifest is required for customs clearance.

All declarations in your Commercial Invoice/ Packing List, must be in the English Language. A full description of the item must be given.

To assist the approval of importation by Vietnamese Customs, please provide a copy of descriptive/illustrative brochure together with your Commercial Invoice/ Packing List.

We will store your empty cases within the exhibition site under shelter during the exhibition if space is available.

For wooden cases returning to some European & Asian Countries at the end of exhibition, they will be required for fumigation before they can be exported as per import regulation of destination country.  A fumigation fee will be charge to your account (if required).

The following items are NOT ALLOWED for temporary and permanent importation into Viet Nam; separate import license is required:

• Cosmetics
• Telecommunication, Cameras, A.V. equipment, wireless equipment, etc
• Medicines, pharmaceutical products
• Foods, foodstuff and Beverage, alcohol
• Textile and footwear
• Household electronic products

The above items are subject to additional specific import license in Viet Nam. Commercial invoice and packing list, accompanied by catalog items are to forwarded to us 3-5 weeks from flight/vessel arrival date. License is subject to approval. Application fee depends on product/commodity specifications.

*NOTE: Subject to Customs changes at time of entry.

Wine, all kind of printer machines items, scanners, all world maps (if sensitive locations in Asia areas are indicated), and used products are strictly prohibited for exhibition purposes, unless otherwise advised.

*** ALL shipments if under temporary entry to this show, after show end, shipments MUST return to ORGINAL country as per Inward.

Do take note and send over the Draft items details for checking with Vietnam Customs first.

Do take note that the dimension of the hall main entrance, which is 4.2 (H) and 5.0 (W) meter. Any item exceeding these dimensions, do wait for our confirmation before sending your exhibition goods to the exhibition.

Should the consignment arrive too early from the stated consignment deadline, we are unable to custom clear the consignment due to non-availability of Temporary Import license (license available 3 weeks before show). We will charge the port storage at cost back to the exhibitors.

ATA Carnet is not accepted by Vietnamese Customs. Goods are required to be imported under temporary bond for exhibition. We will apply on behalf of exhibitor with a nonrefundable bond Fee.

We do not recommend sending exhibition materials such as giveaways or brochures via courier services (DHL, FEDEX, UPS, etc.) or hand carry your exhibition goods. Goods may be retained by customs and there is no guarantee that they can be released in-time for the exhibition.

Brochures and giveaway items/souvenirs are taxable items. Such items will be imported temporarily and need to be converted into permanent import after the show. Documentation fee to convert status to permanent import will be applied.

Brochures and giveaway items/souvenirs are taxable items with an import tax rate of 20% - 35% + 10% VAT based on the value assessed by Vietnamese Customs. Customs will evaluate the import taxes for those consumed items and official customs receipt will only be available 2 – 4 weeks (estimated) after end of show.

All exhibition goods need to be imported under Temporary importation for exhibition purpose and must be re-exported within 30 days from the closing date that Customs file is opened. There is no extension permit granted by Customs.

For any urgent export after exhibition, return instruction shall be given to us together with pre-alert of shipment to exhibition. For normal re-export, please note that it can take up to 3 weeks due to Customs process. Full payment of our inward/outward charges must be settled & received before end of exhibition.

It is the responsibility of each exhibitor to arrange Marine (Transport) Insurance covering all transport you may have in Vietnam.

Our liability is limited in accordance with our Standard Trading Conditions. As our tariff is calculated based on the volume or weight of the shipment and bears no relation to the value of the exhibits, our charges do not include insurance coverage. Should you require insurance for your consignment, please provide us with written instructions prior to shipment so that the necessary arrangements can be made.

Outward Consignment  : Upon presentation of invoice/prior to return exhibits

All payments must be made without any deduction or deferment on account of any claim or off-set.
